Brief Overview of the Division:
The Human Resources Division at the College of Physical Education and Sports Sciences for Girls, University of Baghdad, is an administrative department responsible for managing the administrative affairs of all faculty and staff, including promotions, allowances, pensions, processing transactions, administrative letters, and orders, ensuring they are carried out within the specified timelines. The department, originally called the Administrative Department, was established in 1996 when the Department of Physical Education for Women was converted into the College of Physical Education for Girls.

Vision of the Division:
The department aims to improve administrative practices in all aspects (staffing, pensions, electronic archiving, incoming and outgoing correspondence, and fingerprint systems) based on established laws and regulations.
Department’s Mission:
The Human Resources Division serves as the administrative arm responsible for all administrative procedures. Its mission is continuous research, using advanced methods to support the college administratively. The department strives to be the heart that aligns with all aspects of the college to achieve strong standards in administrative work.
Tasks and Objectives of the Division:

Adhering to the proper procedures for mail handling within a chain of command and establishing guidelines for mail receipt and delivery by the division and branch/unit representatives within designated times.

Implementing a backup system where each employee has a substitute capable of performing the same tasks.

Providing self-training courses for new employees in the division, teaching them the division’s procedures, and conducting practical tests to correct any errors.

Electronically archiving all incoming and outgoing documents daily, along with filing personal folders.

Ensuring the confidentiality of the division’s work and the information related to incoming and outgoing documents through daily monitoring.

Organizing special registers for regular, medical, and mandatory leave, in addition to the established forms.

Maintaining constant communication with the university’s Human Resources and Legal Affairs Departments, or any other relevant departments, for information needed in our work.

Reviewing and verifying documents received from other divisions and units before dispatch.

Organizing registers for college staff (faculty and employees) to record details related to promotions and annual salary increments.

Printing and storing lists and records of promotions and salary increments using computer systems (Word/Excel).

Updating the college staff database in coordination with the Planning and Monitoring Division.

Preparing and regularly updating a service summary for all college employees.

Conducting a complete audit of all staff documents to verify the authenticity of the documents, especially those used for hiring.

Maintaining personal files for staff on a daily basis.

Assigning specific colors to each department, division, and unit’s files to facilitate easy identification and organization.

Creating an index for all files to ensure their contents are preserved and not lost.

Keeping an additional digital copy of all files as a backup, stored on a hard drive.

Using a tracking register for incoming and outgoing mail and prohibiting any erasures or use of white-out in administrative records, especially in the incoming and outgoing registers.

Auditing all employee records related to the age verification decision, and completing the necessary actions for those whose files are missing this document.
